How to Compare HOA Management Proposals Without the Guesswork

By the Sliceo team

When a board goes out for management proposals, it usually gets three to six documents that look nothing alike — different pricing models, different scope, different fine print. Comparing them fairly is hard, and getting it wrong is expensive. Here's how to do it well.

Why comparing is so hard

Every company formats its proposal to its own advantage. One bundles services that another charges separately; one quotes a low year-one price with an uncapped escalator; another buries onboarding fees. Read top to bottom, they're nearly impossible to line up.

Normalize the line items

Rebuild every proposal onto the same list of line items so pricing and scope sit row for row. If a service is included in one bid and extra in another, that difference should be obvious at a glance.

Look at three-year cost, not year one

Headline pricing is a trap. Project the total cost across three years including escalators — that's the number that actually affects your budget.

Compare scope and staffing

Two proposals at the same price can deliver very different service. Map exactly which services each includes, and understand who will actually staff your community.

Watch the red flags

Uncapped escalators, high onboarding or transition fees, vague scope language, and thin staffing are the usual gotchas. Flag them before the board meeting, not after signing.

The easy way

You can build all of this in a spreadsheet — or use BoardMatch, which does it for you. It standardizes competing proposals into one side-by-side matrix with three-year costs, a scope grid, staffing comparisons, and automatic red-flag alerts, then exports a board-meeting-ready PDF. It's free for boards, neutral (no rankings), and private — no unsolicited calls until your board asks.
